Document Management (DocFinity) Batch Upload and Indexing Steps


The purpose of this guide is to learn how to mass upload and index documents in DMS (DocFinity). Indexing batches of documents helps make the indexing process more efficient.

Batch Upload

1. Select the Indexing Workspaces menu.

2. Start the Batch Upload Process: Select the Upload icon in the Batches panel.

3. Select files to upload: Choose your file(s) or drag and drop the file(s) that you want to upload.

4. Successful Upload: A message and a green check mark next to the file(s) will appear to signal a successful upload. Select Close.

Batch Index Process

5. Start the Batch Index Process: To locate the file(s) to index, select My Uploads from the Batch panel to access documents that were previously uploaded.

6. Select the file(s) you want to index and double-click to open.

  1. The most recently uploaded files will default to the top of the list, but the grid is sortable.
  2. Files can be indexed one at a time or in groups

7. Add metadata in the Index panel. Note: Any field with an * is a required field.

  1. When doing Batch Uploads, One does not need to add all the data at this time.
  2. One may add some data and then select Save it, then finish it later.

8. Select Commit Batch. This will make any documents with complete metadata discoverable via Search. Note: Only committed documents are searchable.

  1. Index Rest will apply the selected metadata to the current file and any files below it in the Batches panel.
  2. Index All will apply the selected metadata to the current file and all others in the Batches panel

    NOTE: There is a user preference that adds flags in search results to quickly show which documents are checked out for editing.
