Document Management (DocFinity) Bulk Update of Record Retention Trigger Date (RRTD)


Updating your documents' record retention trigger date (RRTD) is important as it keeps you in compliance with UW records retention policies.

Steps to Bulk Update (RRTD)

  1. Find Documents to be bulk updated: Perform a search and find the document you are looking for in the Search Results. For example, search for an employee who is leaving UW so you can add the RRTD.

  2. Select the file and select "Start a Process": Select the documents by checking the boxes to the left of their result. Then select the "Start a Process" icon.

  3. Select the Process and Continue to Prompts: Select the RM - Set Manual RRTD (Bulk Reindex from Search Results)" Business Process and select to "Continue to Prompts":

  4. Add the RRTD: Click on the calendar to select the date and then select "Start Process." A successful status note highlighted in green will be displayed at the top of the screen.

  5. Confirm the changes: To confirm the changes, select the file(s), then "View Information" and scroll down to the "Record Retention Trigger Date" metadata field.
